Have you tried Gtdagenda?

It’s a really neat technology tool I just discovered to help you up your productivity and get organized. Their website portal combines everything you need in one place; goals, projects, tasks, checklists. You can make schedules and integrate with some calendars. It allows you to use contexts and next actions. You can even prioritize and integrate with email.

Of course there is an iPhone app to go along with it!

Be Proactive

7 habitsBe Proactive – The first habit in Steven Covey’s system for “7 Habits of Highly Effective People” is Be Proactive. By definition, being proactive means – “taking initiative: taking the initiative by acting rather than reacting to events.”

We have the choice to act in a way that attempts to bring about change; or to simply respond after something has occurred. In real terms; do we want to try to control, influence or affect any situation or outcome or do we allow ourselves to be influenced by other’s choices.

Some strategies for being proactive:

  • Take responsibility for yourself and your job or business – stop blaming others.
  • Look for possible obstacles or difficulties that may arise.
  • Find solutions rather than waiting for someone else to solve your problems.
  • Determine what or who we can actually influence.
  • Do not waste time trying to control things you cannot.
  • Whining and complaining are not being proactive!
  • Follow-thru on any commitments and promises you make to yourself and everyone else.
  • Choose how you will view situations – don’t let other’s dictate your response.

The Covey Matrix Can Help You Manage Your Time More Effectively

While I may be a GTD fan at the moment, I have not completely abandoned the teachings of the guru of time management, Steven Covey. 7 Habits of Highly Successful People may be the most influential time management book ever written. so it is defintely a worthy addition to any productivity junkie’s arsenal.

Human nature means that we instinctively act on tasks that are ‘urgent’, whether these tasks are important or not. That’s OK for the tasks that are also important, but the other ones are not necessarily the best use of your time and effort.

The Covey Time Management matrix can also be used to explain why taking action on goals sometimes gets into trouble. Goals are typically derived from dreams and desires, which by their very nature are not ‘urgent’. Goals are however VERY important and their enabling actions need to be elevated in priority over tasks that are not really important.

So as a tool for helping you prioritize your action items, start by identifying which part of the matrix each task belongs in, and then manage them according to the Covey matrix:
